Connect Google Calendar and your agent can see what is free and book into it during a call. You can connect more than one calendar, which is how businesses let an agent book different staff. Connecting takes about two minutes and needs no developer.

Before you start

  • A Google account that can see the calendar you want bookings in.
  • Use a shared or business account rather than a personal one where you can. A calendar connected with somebody’s personal login stops working when they leave.
  • Your real availability already in that calendar, since your agent books whatever the calendar says is free.

Steps

Open the app store

In your dashboard, open the app store and choose Google Calendar.

Sign in to Google and allow access

Sign in with the account that owns the calendar and allow Brilo the access it asks for. You are signing in to Google, not giving Brilo your password.

Choose the calendar

Pick which calendar this connection uses. If several staff take appointments, connect each calendar you want your agent to be able to book into.

Add the booking action to your agent

A connection on its own does nothing. Add the appointment action in your agent’s Actions tab and point it at this calendar. See Book appointments.

Book a test appointment

Call your agent, book a slot, and check it appears in the right calendar at the right time.

You will know it worked when

  • Google Calendar shows as connected in the app store.
  • A test booking appears in the calendar you expected.
  • A time already busy in that calendar is not offered to a caller.

Using more than one calendar

Connect each calendar separately, then decide how your agent chooses between them. Keep the caller’s side of that decision simple: asking “which of our six therapists would you like?” on a phone call is slower than it sounds, and most callers just want the first available slot. A common arrangement is one calendar per person plus a rule in your instructions about who gets what kind of appointment.

What else you can do here

If it did not work

The calendar does not appear after connecting. You may have signed in with an account that cannot see it. Check which Google account you used, and that the calendar is shared with that account. Bookings go to the wrong calendar. The action points at a different connection than you think. Check the action in your agent’s Actions tab rather than the connection itself. The connection stopped working. Access can expire or be revoked, often when a password changes or somebody leaves. Reconnect it in the app store. Anything else: An action did not run.

Your agent stops being able to check availability or book, so any booking action using it fails. Nothing already in your calendar is affected. Tell your agent what to do instead if you plan to disconnect.
Almost always the wrong Google account. Check which one you signed in with, and that the calendar is shared with it. Reconnecting with the right account fixes it.
