# Connect Vagaro

> Connect your Vagaro business to Brilo from the app store, so your agent can answer callers with your real services, prices, open times and staff.

Connecting Vagaro takes about five minutes once Vagaro has approved API access for your business.
You copy a Client ID and Client Secret from your Vagaro settings, paste them into the Brilo app
store with your Vagaro web address, and pick the location your agent answers calls for. Brilo
checks the details with Vagaro before saving them.

## Before you start

* **API access approved by Vagaro.** Vagaro switches API access on for each business before its
  keys work. Approval can take up to seven business days and needs a paid Vagaro plan with Vagaro
  payments.
* **Your Client ID and Client Secret.** In Vagaro: **Settings**, then **APIs & Webhooks**, then
  **API**.
* **Your Vagaro web address**, the address in your browser while you are signed in to Vagaro. It
  looks like `https://us04.vagaro.com`, and its first part is your Vagaro region.
* **Access to the App Store** in your Brilo dashboard. See

## Steps

  Before you change anything in Vagaro, open the **App Store** in your Brilo dashboard and check that
  **Vagaro** is listed. Vagaro is switched on for each workspace, so if you cannot see it, contact
  [support@brilo.ai](mailto:support@brilo.ai) and ask for it to be turned on before you go further.

  <Step title="Copy your Vagaro web address">
    Sign in to Vagaro on a computer and copy the address from your browser's address bar. It starts
    like `https://us04.vagaro.com`. The part before `.vagaro.com` is your region, and Brilo reads it
    from this address.

  <Step title="Copy your Client ID and Client Secret">
    In Vagaro, open **Settings**, then **APIs & Webhooks**, then **API**, and copy the **Client
    ID** and **Client Secret**. Keep the secret somewhere safe until you paste it into Brilo in the
    next step.

  <Step title="Connect in Brilo">
    In your Brilo dashboard, open the **App Store**, choose **Vagaro**, and click **Connect**. Fill
    in the form, then click **Continue**.

    The form asks for these four values.

    | Scope | `read access,write employee`. It is usually filled in for you, and it covers every Vagaro action |

  <Step title="Test the connection and pick your location">
    Click **Test connection**. Brilo signs in to Vagaro with your keys and lists your business
    locations. If you have one location, Brilo picks it for you. If you have more, choose the
    location your agent answers calls for, then click **Install App**.

## You will know it worked when

* The test lists your Vagaro locations and the **Install App** button becomes available.
* Brilo shows **Successfully connected your Vagaro account!** with an **Add to an agent** button.
* A Vagaro action added to your agent, such as **Look up services and prices**, answers on a test

## What you can do once connected

Each item below is an action you add to an agent on its **Actions** tab. Add only the ones that
agent needs, and set the **Region** and **Location** fields once when you add each action. The
actions fall into five groups.

| Services and booking | Look up services and prices, Check open appointment times, Look up a customer's appointments |
| Locations | Look up locations, Update a location |
| Customers | Look up a customer, Delete a customer |
| Staff | Look up a staff member, Update a staff member, Delete a staff member, Assign a staff member to locations, Unassign a staff member from locations, Look up access levels |
| Staff calendars | Create a personal task, Look up personal tasks, Update a personal task, Delete a personal task |

**Check open appointment times** finds openings but does not book them, so your agent offers the
times and your team completes the booking. **Look up a customer** and **Look up a customer's
appointments** need the caller's Vagaro customer id from an earlier Vagaro result, because Vagaro
does not let Brilo search customers by phone number or name.

## If it did not work

Brilo tells you which of these it was.

| Vagaro did not accept these details | Copy the Client ID and Client Secret again from **Settings**, then **APIs & Webhooks**, then **API**, and check the Scope. The keys only work once Vagaro has approved API access for your business |
| Signed in, but Vagaro showed no locations | The keys worked but no locations came back. Check that API access is on for this business in Vagaro, then test again |
| Vagaro is limiting requests right now | Nothing is wrong with your details. Wait a few minutes and test again |
| Pick your location again | Your Vagaro locations changed or none was picked. Test again, then choose a location |
| This app is already connected | A workspace has one Vagaro connection. Remove the existing one from the Vagaro page in your app store, then connect again |

    Yes. Connect your Vagaro business from the app store with the steps on this page, and your agent

    No. Your agent can find open appointment times with Check open appointment times and offer them
    to the caller, but no Vagaro action creates a booking. Tell your agent in its prompt what to do
    next, such as taking the caller's details so your team can book the slot.

    Yes. Vagaro only switches API access on for businesses on a paid plan that use Vagaro payments,
    and it approves each business before its keys work. Approval can take up to seven business days,

    No. You copy two values from your Vagaro settings, paste them into the Brilo app store with your

    Only what the actions you add ask for. Read actions look up services, prices, open times,
    appointments, customers, staff, locations and personal tasks. Write actions can update a
    location or a staff member, manage personal tasks, and delete a customer or staff member. Your
    agent is told never to read out personal details like email addresses or phone numbers.

    Usually Vagaro has not approved API access for your business yet, or the keys came from a
    different business. Check that the web address is the one you sign in at, copy the Client ID and
    Client Secret again, and test again. The table above matches each message Brilo shows to its
    fix.

  <Accordion title="Can I use Vagaro with more than one location?">
    Yes. A workspace has one Vagaro connection, but each Vagaro action has its own Location field.
    Pick a location when you add the action, and add the same action again for another location if
    your agent answers for several. Brilo names the connection after the location you pick while
    connecting.

  <Accordion title="What happens if I disconnect Vagaro?">
    Disconnecting removes the connection from your workspace, and Vagaro actions stop with a message
    asking you to reconnect. Everything already in Vagaro stays, because those records belong to
    Vagaro. You can reconnect at any time by following the steps on this page again.
